AI agents

Agentic work, one workflow at a time

Claude and ChatGPT already connect to Gmail, Drive, Slack and QuickBooks, and we set the rules you approve.

About an hour on a screen share: we connect your accounts and launch your first workflow as a draft you approve.

Invoice matching, today and with an AI agent

Today, 6 days

  1. A supplier invoice arrives by email.

  2. An AP specialist keys it into the ERP.

  3. The specialist matches it to the PO by hand.

  4. The specialist emails the buyer about a mismatch.

  5. The mismatch waits in the buyer's inbox.

  6. Your controller approves the batch.

With the agent, 2 days

4 days come out
  1. A supplier invoice lands in the AP inbox.

  2. The AI agent reads the vendor, PO number, lines and totals from the PDF or scan.

  3. The agent matches it to the PO and the receipt in your ERP, line by line.

  4. Match: the agent posts it to the approval queue.

Mismatch: your AP specialist gets the invoice, the PO line and the reason.

  5. Your controller approves the batch.

The agent logs each read, match and post. Your controller can open that log.

A named owner

One person on your team sets its rules and can pause it. During a pause, your team runs the manual procedure we documented in the Build.

Its own credentials

The agent signs in under its own account, with the narrowest permissions its task needs. Your IT team grants that access and can revoke it the same day.

A log your controller can open

The agent records each document it read, each record it wrote, and each case it passed to a person.

A confidence threshold

Below the threshold you set, the agent stops and sends the case to a named person.

An agent we build carries all four. A setup on Claude or ChatGPT carries a named owner and an approval step before each send, and runs in your own account.

Dashboard demo, agents screen: four sample agents, each with its status, owner, cases and exceptions today, a threshold slider, and a Pause or Resume button. The paused agent shows who paused it and the runbook your team follows.
Each agent's owner can pause it, move its confidence threshold, or hand its exceptions to another role.

We measure it at 30 and 90 days.
  1. Trigger. An email, a PDF, a record or a date arrives.
  2. Read. The agent reads it, structured or not.
  3. Check. The agent checks it against your rules and your data.
  4. Act. The agent writes the result in your system.
  5. Person. Below your confidence threshold, or on a case you reserve, a named person decides.
  6. Log and measure. The agent logs each step. We measure it at 30 and 90 days.
The solid line carries the routine case. The dashed line is the branch to a named person, and it rejoins the main line at the log.

Claude or ChatGPT carry the core job on all fourteen; we build and host agents that need a hard stop or a log.

The same six steps, department by department

  • Legal and Sales

    Contracts and negotiations

    1. The agent reads each incoming contract or redline against your playbook, clause by clause, and flags non-standard terms, missing carve-outs, renewal and auto-renew dates, and obligations.
    2. It drafts the counter-redline and a one-page negotiation brief in your contract repository.
    3. Your counsel or the deal owner negotiates, and a person signs.
    A person keeps

The negotiation and the signature. We do not build an agent that signs a contract or commits you to a term.

    Numbers it moves

Review hours, days from receipt to a marked-up draft, and missed renewals.

  • Owner-run businesses

Solo operator: inbox, invoices and follow-up

    1. The agent reads your inbox and your invoice tool, and drafts the replies and the payment reminders.
    2. Once you approve, it writes the invoices and the follow-ups in those tools and logs each action.
    3. It hands you anything unusual, with the reason attached.
    A person keeps

The yes on each reply, invoice and reminder before it goes out, and each price, discount or refund.

    Numbers it moves

Hours a week on email and billing, days until a customer pays, and leads still waiting for a reply.

  • Finance

    Collections and cash application

    1. The agent reads each remittance and matches it to your open invoices.
    2. It applies the payment in the ERP and drafts the reminder due at each aging step.
    3. Your AR lead gets the disputes and any balance above the limit you set.
    A person keeps

The call on each dispute, and on any credit hold or write-off.

    Numbers it moves

Days sales outstanding, hours on cash application, and unapplied cash.

  • Customer Service

    Support ticket triage

    1. The agent reads each ticket and classifies it.
    2. It drafts a reply from your knowledge base and routes the ticket in your help desk.
    3. A rep takes the low-confidence cases and the unhappy customers.
    A person keeps

Refunds and credits, and any reply that makes the customer a promise.

    Numbers it moves

First-response time, hours per ticket, and misroutes.

  • HR

    Candidate screening and scheduling

    1. The agent reads each application against the requisition and scores it on your criteria.
    2. It records the score in your hiring system and proposes interview slots from the team's calendars.
    3. The hiring manager decides who advances.
    A person keeps

The decision on each candidate, from the first screen to the offer.

    Numbers it moves

Days to first interview, recruiter hours, and candidates lost to silence.

  • Healthcare groups

    Referral and prior-authorization intake

    1. The agent reads each faxed or emailed referral.
    2. It checks eligibility in your practice system and assembles the authorization packet.
    3. A coordinator submits the packet and handles any denial.
    A person keeps

The submission to the payer and each appeal. Your clinicians answer the clinical questions.

    Numbers it moves

Days to first appointment, coordinator hours, and packets returned incomplete.

  • Logistics and distribution

    Shipment exception handling

    1. The agent watches carrier tracking and spots a delay against the promise date.
    2. It drafts the customer notice and the rebooking in your shipping system.
    3. A dispatcher approves any change before it goes out.
    A person keeps

Each rebooking, and any new date you give a customer.

    Numbers it moves

Hours on exceptions, customer calls, and late deliveries caught early.

  • Property management

    Maintenance request triage

    1. The agent reads each tenant request and classifies its urgency.
    2. It dispatches a vendor from your approved list in the property system and tracks the job to completion.
    3. The manager takes emergencies and any job above your cost limit.
    A person keeps

The approved vendor list and the cost limit, which the manager sets.

    Numbers it moves

Hours to dispatch, manager hours, and repeat calls.

  • Construction and field services

    Submittals and RFIs

    1. The agent reads each submittal against its spec section.
    2. It enters the submittal in your submittal log, drafts the RFI where the spec leaves a question, and chases the response.
    3. The project manager answers each RFI.
    A person keeps

Approval of each submittal, and any answer that changes the work.

    Numbers it moves

Days per submittal cycle, project manager hours, and rework from wrong submittals.

  • Operations

    Purchase order to receipt matching

    1. The agent reads each receiving ticket and finds its purchase order.
    2. It matches the lines in the ERP and posts the receipt when the counts agree.
    3. The buyer gets each short or over shipment.
    A person keeps

The call to the vendor on a short or over shipment, and any credit that follows.

    Numbers it moves

Hours on receiving, days to close a PO, and stock-count errors.
